Assigning Internal Users to a Claim
There are a few different ways you can assign an internal user to a claim.
For the company that creates a claim, an internal user can be added to the claim in three ways:
1. An internal user can be added as a participant to a claim
2. An internal user can be added by giving them an assignment
3. An internal user can be added to an existing assignment of another company
For a company that was assigned a claim, an internal user can be added in the following ways:
1. As a participant to an existing assignment by the Assignor
2. Under a new Internal Assignment
3. As a user to an existing assignment of another company (Vendor/Peer)
How to Add a User as a Participant to a Claim
The following steps outline how to add a user as a participant to a claim and/or an assignment.
1. With the claim open click on the ‘Assignments’ tab and then click on ‘View Participants’.
2. From the ‘Participants’ blade click ‘Add Participant’.
3. Select the user from the ‘My Company’ list (or the Guest User list if applicable) and then click on ‘Add Selected User(s)’.
4. The user will now be added as a ‘Participant’ under your company list.
5. If your company didn’t create the claim, select ‘Under assignment’ to associate the user with your company’s assignment and click on ‘Add’.
Every assignment in a claim requires at least one participant who is part of the assignment. If the last participant in an assignment tries to stop participating, the system will display a warning message prompting you to make sure at least one other user from your company participates in the assignment. If you are the only user for the assigned company, the message will prompt you to mark the assignment as ‘Completed’ or ‘Cancelled’ before stopping participation.
How to Create a New Internal Assignment
You can assign a claim from either the Claims List or from within a claim. If you wish to assign multiple claims at one time you would do that from the Claims List where you can either create individual assignments or create multiple assignments at one time.
The following steps outline how to create an assignment for another user in your company from within a claim:
1. With the claim open click on the ‘Assignments’ tab and then click on ‘Assign’.
2. The ‘Assign Claim’ blade will slide out from the right-hand side of the screen. From the list of Internal Users select the user you wish to assign the claim to by checking the box to the left of their name.
3. Click on the button ‘Assign Selected Internal User(s)’ at the bottom of the blade.
4. Check the ‘New assignment’ check box and click on the drop down menu for the ‘Assignment type’. Here you can select the appropriate assignment.
5. Once you have the Assignment Type selected click on ‘Assign’ and the assignment will be created and you will be taken back to the Assignments tab where the new assignment will now appear.
How to Add an Internal User to an Existing Vendor/Peer Assignment
Adding an internal user to an existing vendor or peer assignment is very similar to creating a new assignment. The following steps outline how to add an assignment for another user in your company from within a claim:
1. With the claim open click on the ‘Assignments’ tab and then click on ‘Assign’.
2. The ‘Assign Claim’ blade will slide out from the right-hand side of the screen. From the list of Internal Users select the user you wish to assign the claim to by checking the box to the left of their name.
3. Click on the button ‘Assign Selected Internal User(s)’ at the bottom of the blade.
4. When the ‘Assignment’ dialog box opens check the ‘Existing assignment’ check box and select the assignment(s) you wish to add this internal user to and then click ‘Assign’.
5. To confirm the assignment was made, click on the Assignment name within the Assignment tab and when the Assignment blade opens, click on ‘Participants’. The user you assigned to that Assignment should appear in the list.
